Shuttle Tracker® App

PRIVACY POLICY - SHUTTLE TRACKER

Last updated: 21 September 2026

Shuttle Tracker (“the app”) is provided by VenueVision Media Systems (“VenueVision”, “we”, “us”) for use by dealership shuttle drivers and dispatch staff. This policy explains what the app collects, why, who it is shared with, and how long it is kept. It covers the Shuttle Tracker mobile app on Android and iOS. Our general website privacy policy covers venuevision.com and is separate from this one.

Who is the app for?

Shuttle Tracker is a tool for staff at a dealership that subscribes to VenueVision. Drivers sign in with an account their dealership creates for them; the app has no public sign-up. It is not directed to children and we do not knowingly collect data from anyone under 13.

What the app collects and why?

Information about the driver using the app:

  • Email address, as the sign-in username, and the account identifiers your dealership issued. Used to authenticate you and keep you signed in.
  • Precise location, while the app is open, when you allow it. Used to show your position on the map, to centre the map on you, and as the starting point when the app draws a route to a pickup. The app does not track your location in the background, and does not record a location history.
  • A device identifier and push notification token, so new trips assigned to you can reach your phone.
  • Crash reports and performance diagnostics, so we can find and fix faults.

Information about customers, entered or viewed by staff in the course of dispatch:

  • Name, mobile number, pickup or drop-off address, and any driver instructions or repair-order reference attached to a booking.
  • Messages exchanged with a customer about their ride, and photos a driver chooses to attach to one.

This customer information is your dealership’s record of its own business. The app is the means by which staff enter and read it; the dealership decides what is collected and how long it is kept.

Where the information goes

  • VenueVision’s own servers (autotext.ca) hold the booking, customer and message records, and deliver the text messages sent to customers. This is the dealership’s system of record.
  • Google Maps Platform receives your position when the app needs a route or address suggestions: the Directions service is sent the starting point of a route, and the Places service is sent an approximate area so that address suggestions are near you. Google processes these requests under its own terms.
  • Google Firebase delivers push notifications and receives crash and diagnostic reports.

We do not sell personal information, and we do not share it with advertisers or data brokers. The app contains no advertising and no third-party analytics beyond the crash reporting described above.

How it is protected

All traffic between the app and our servers, and between the app and Google’s services, is encrypted in transit using HTTPS. Sign-in tokens are held in the operating system’s secure storage (Keychain on iOS, Keystore-backed storage on Android). Access to dispatch records is limited to signed-in staff of the dealership the record belongs to.

How long it is kept

Booking, customer and message records are retained by the dealership in the VenueVision system for as long as it needs them for its business and to meet its legal obligations. Crash reports are retained by Firebase according to Google’s published retention periods. Your location is used to answer the request you made — drawing a map or a route — and is not stored by the app afterwards.

Your choices

  • Location can be refused, or withdrawn later in your device’s settings. The app continues to work: the map simply will not centre on you, and a route cannot be drawn from your position.
  • Notifications can be turned off in your device’s settings.
  • Photos are only read when you choose one to attach to a message.

Access, correction and deletion

Shuttle Tracker does not provide account deletion inside the app, because driver accounts are created and removed by the dealership that employs you. To ask what information is held about you, to correct it, or to ask for it to be deleted:

  • Drivers and dispatch staff should contact their dealership, which administers these accounts.
  • Customers should contact the dealership that arranged their shuttle, which holds the booking record.
  • You may also write to us at privacy@venuevision.com and we will assist the dealership in responding.

We respond to requests in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial legislation.
